Customer Database with Diverse Search Options

  • ATAPS Contracts Easily accessible and searchable information on each customer, which ensures a prompt response to customer inquiries and problem solving (such as contract information, outstanding debts, waste collection calendar, location, etc.).
  • Management of customer wishes, which enables any company specialist to record customer wishes and address them one by one, while accessing the necessary information at any moment, for example, responding to a waste collection request over the phone and immediately adding it to the next day’s route, etc.
  • Automatic drafting and printing of contracts (the system allows various customisable contract forms, such as for individuals, businesses, building managers, etc.).
  • Service provision calendar, which allows customers to be provided with personalised service schedules of different regularity for different seasons, for example:
    • every month, week or day;
    • second Wednesday of every month;
    • every second, third, etc. week;
    • every third Wednesday in May, June and July; every second Tuesday in December, January and February;
    • etc.
  • Flexible payment options:
    • prepayment/postpayment;
    • different payment periods: monthly, quarterly, semi-yearly, yearly.
  • Adaptable functionality according to the type of customer:
    • individuals;
    • businesses;
    • building managers;
    • shared sites (one site owned by several individuals and/or businesses);
    • shared containers (one container used by several individuals/businesses).

Service Provision Process (Waste Collection)

  • Automatic generation of daily tasks (route sheets).
  • Route planning tool: shows the planned routes both on maps and in tables, as well as the predicted amount of waste across the calendar in order to plan for vehicle loads and segment customers geographically.
  • Route optimisation: calculates the shortest possible route among all customers, including the landfill, if a visit is necessary in order to fulfil the task. This includes the following situations: 
    • the truck has to visit the landfill and return to the route several times within one route;
    • one route is taken by several trucks – the route is automatically divided between several trucks;
    • several routes are merged into one and delegated to one or several trucks;
    • rerouting during task implementation (for instance, the truck encounters a problem, the maximum amount of waste has been collected and needs to be emptied at the landfill, additional waste may be collected due to low volumes, etc.);
    • different optimization algorithm for construction waste routes (moving/emptying/transporting containers to the customer/delivery containers to the base);
    • custom algorithms may be added to the system to account for additional parameters, such as arrival time, time-restricted roads, etc.
  • Electronic completion of route sheets using a tablet:
    • option to virtually follow the route on the map;
    • option to take a photo at the moment of collection as proof of the collectable amount;
    • integration with Google or Waze navigation apps to visit the next customer from the current location;
  • option for office operators to track the location of each truck and the completion of the route;
  • option to print out work tasks (if no tablet is used).

Invoicing Customers for Services

  • Automatic generation of invoices for the service provision period (emptied containers, additional services, etc.).
  • One invoice for all of the customer’s addresses.
  • Detailed report on each of the customer’s addresses.
  • Flexible payment options:
    • prepayment/postpayment;
    • monthly, quarterly, semi-yearly, yearly.
    • Debt recovery management (list of debtors, e-mailing, changes in contract status, etc.). Automatic importing of debtors from the accounting system.
    • Automatic calculation of penalty for outstanding payments.
    • Electronic invoicing (via e-mail).
    • Invoicing via mail using outsourced services (for example, Itella/Fitek postal service company in Latvia).
    • Importing bank payments in Fida Vista format or automatic importing of daily transactions and maintaining up-to-date customer balances in the ATAPS system.
    • Exporting the provided services to the accounting system. So far, we have integrated the system with the following accounting software in Latvia:
      • Tildes Jumis
      • HansaWorld
      • Horizon
      • Grins
      • Logs

    Customer Communication: Information Provision

    • E-mailing service provision calendars to customers.
    • Notifying customers on a particular route via text message (SMS) or e-mail if the route is cancelled or moved to another day.
    • Option to search customers by different criteria (neighbourhood, type, address, geolocation, etc.) and send an e-mail or text message (SMS) to the selected group.

    Reports on the Provided Services and the Amount of Waste Across Various Time Periods 

    • Service provision history in calendar form.
    • Total of the services provided in a certain period.
    • Debt report.
    • Report on the provided services per customer.
    • Exporting reports to Excel.
    • Quality control (when, where an employee has been and for how long).
    • Container inventory reports.
    • Vehicle configuration: capacity/weight/driver – necessary for route optimisation and configuration of work tasks on tablets.
    • Etc.*

    *The ATAPS system can be customised and supplemented with additional reports. 

    Integration with Other Systems

    The ATAPS system may be integrated with other systems, such as:

    • RFID - container magnetic chipping/inventory systems – additional equipment for the inventory and maintenance of containers;
    • Waste weighing systems;
    • GPS fleet tracking systems;
    • invoicing systems that print bar codes on invoices for the option to pay them at various locations (including supermarkets);
    • web-based systems (such as the company’s website) with an option to create a section for importing data to the ATAPS system (for example, to request an additional collection time);
    • exporting data from ATAPS to other systems in Excel, CSV, XML and other formats – export processes are customised as necessary.
